This Privacy Policy describes the policies and procedures for the collection, use, and disclosure of your information through Janis ("we", "our" or "us") services, websites, and applications (collectively the "Services"). We receive information about you ("you", "yourself", "your company", including "your users") from various sources, including: (i) your use of the Services generally; and (ii) from third-party services ("Third Parties"). The information we collect through your use of the Services includes message data and related content, application data, and user data, including some Personal Information (collectively, "Information"). By using our Services, you are consenting to the collection, storage, transfer, manipulation, and analysis of your Information and in certain cases, disclosure and sharing of this Information as described in this Privacy Policy.

Information We Collect

Information is collected by us via Third Parties that you connect to our Services and we collect Information from you directly through the use your use of our Services in order to analyze message and application data received through the Services, deliver and personalize the Services for you, communicate updates about the Services to you, and generally operate the Services in accordance with our Terms of Service. Any Information that we collect from you is used solely in connection with the delivery of our Services and we make every commercially reasonable effort to safeguard this Information, keeping such Information in secure, offsite, storage facilities around the world that share our respect for your Information and international privacy laws.

Personal Information

By providing your email address either directly, or indirectly via a Third Party, you are providing us with a minimum identity requirement needed to authenticate you so you can access the Services. You are also providing us with a reliable method to communicate with you, including any interruptions of our Services that may affect you, and inform you of upgrades to the Services, including, but not limited to updates to this Privacy Statement. Every email communication you receive from us includes the ability to opt out and stop receiving further email from us, in strict accordance with international law. While we may collect Personal Information that can identify you by your name and email address, we do not automatically collect any Information that will identify you by gender, or birthday. You will only be required to provide your address, zip code, or related Personal Information in order for us to process a payment for your continuing use of our Services, providing you opt into paid Services.

Application Data

Application data is collected from Third Parties enabling us to deliver some or all of our Services. We also provide you with code you can integrate into your own applications and the code we provide you with includes credentials (API key and/or a Client key for each of your applications) that uniquely identifies you and enables us to send and receive application data necessary for the delivery of Services.

Message Data and Content

We collect and help you manage incoming and outgoing message data. Message data may include text, graphics, photos, audio, video, and may include specific attributes that identify your users. We transcribe the data we collect in order to help you view, analyze, learn from (as humans, or using artificial intelligence), and respond to such data.

IP Address and Cookies

We may automatically receive and record information from your web browser when you use our Web Services, including your IP address. We collect and store IP address information and that information is not made public. It is used for logging and network management. We may deliver cookies to your computer automatically through your web browser when you access our website. Your browser stores cookies which enable our servers to recognize your web browser and tailor our user experience and Services to you automatically. Our cookies do not by themselves contain Personal Information, and we do not combine the general Information collected through cookies with other Personal Information to tell us who you are.

Information Storage and Management

All connections to our website, our application and any integrations into Third Parties are protected by 128 bit SSL security encryption. This is the same level of security maintained by banks. Further we have a Data Protection Officer (A real human, not a bot) who monitors the flow of data regularly and receives notifications 24 hours / day when their attention is needed. All of your Information that we receive and send is stored in GDPR compliant storange and management facilities:

Heroku

We use Heroku for application storage and hosting. All of our API's and digital services are securely hosted in Heroku data centers.

mLab

We use mLab for database storage and management. All transcripts are securely stored in mLab databases and data centers.

Cloudflare

We use Cloudflare for DNS management, traffic optimization, and intrusion monitoring.

The Sharing Of Your Information Through Your Use of Our Services

Certain Information made available by Third Parties is shared with us which enable us to deliver Services and we share Information with Third Parties solely in connection with your use of the Services.

Slack

We use Slack to authenticate use of our Services. Slack will share your email address with us and other Information about your Slack team including the email addresses of others on your team. If we communicate with you by email, we will only communicate with the user who added Janis to their team, and NEVER anyone else on your team, unless you explicitly provide us with instruction to do so.

Google

If you connect a Dialogflow account (A Google service) to us, we read and write application data directly from Dialogflow so you can train artificial intelligence and so we can deliver your Dialogflow messages to your users through conversational experiences you create. You will be required to authenticate with Google using OAuth 2.0 and Google will maintain your access rights in conjunction with our Services. We also use Google for analytics.

Facebook

If you authenticate Facebook in connection with our Services, we read application data, as well as message data and content sent to you through Facebook Messenger, so you can view, monitor, analyze, and respond to messages you receive from Facebook users. We never under any circumstance communicate directly with your Facebook users.

Third Party conversational platforms, tools and frameworks

If you integrate our Services with a Third Party conversational platform, tool, or framework, such as a bot making tool (i.e. Chatfuel), we send and receive application data and message data from these platforms to enable our Services in connection with your use of services provided by these Third Parties.

Stripe

We use Stripe as a payment processor and to collect payment from you on a recurring basis for use of certain paid Services we provide. Your billing information is securely stored with Stripe and your payment is processed on a monthly billing basis as long as you remain subscribed to one of our paid Services.

Mailchimp

We use Mailchimp for email broadcasting and marketing, and general contact management.

Circumstantial Sharing Of Your Information

We reserve the right to access, read, preserve, and disclose any information as reasonably necessary to (i) satisfy any applicable law, regulation, legal process or governmental request, (ii) enforce these Terms of Service, including investigation of potential violations thereof, (iii) detect, prevent, or otherwise address fraud, security or technical issues, or (iv) protect our rights, property or safety and those of our users and the public. This includes exchanging information with other organizations for fraud protection and spam/malware prevention. You will be notified when your Personal Information may be shared in this capacity. Notwithstanding, we will never share any personally identifiable Information publicly without your written consent to so in strict accordance with our Terms of Service which can be found at https://www.janis.ai/privacy.html.

What Information Of Mine Can I Access or Delete?

Cookies: You can access and delete cookies through your web browser settings. Most browsers have an option to disable cookies, which will prevent your browser from accepting new cookies, as well as (depending on the sophistication of your browser software) allow you to decide on acceptance of each new cookie in a variety of ways. We strongly recommend that you keep cookies active because they enable us to deliver reliable Services.

Message Data: You can access all message data and related content which we collect through your use of our Services. As it relates to such data we collect through interactions with your users, we have made all this data fully accessible through our website interface located at https://www.janis.ai/messages/ You will have to authenticate with us to be able to access all of your message data through this interface.

Services Account: You can request a full deletion of your account in connection with our Services, including any Personal Information that we have collected in connection with your use of our Services. By means of a dated and signed written request (email is acceptable to [email protected]), you can, after giving proof of your identity and free of charge, request the correction of any particulars that are incorrect, incomplete or irrelevant, or the removal of your Information from our computer systems, servers, and the Services in general. Notwithstanding, limited Information may be retained by us indefinitely, even if you terminate your access and/or use of the Services, but we would only use this Information in aggregate form, that is, as a statistical measure, not in a manner that would identify you personally. This enables us to maintain data integrity in our reporting in order to analyze and improve the delivery of our Services.

What Happens When There Are Changes To This Privacy Policy?

We may amend this Privacy Policy from time to time. Use of Information we collect is subject to the Privacy Policy in effect at the time such information is used. If we make changes in the way we collect or use Information, we may notify you by posting an announcement through the Services, or by email, if you provided your email through the use of our Services. Any user of our Services is bound by any changes to the Privacy Policy when he or she uses the Services after such changes have been first posted and regardless of whether we send or you receive any notification.

Policy Coverage

This Privacy Policy covers all residents of countries worldwide who access and use any of our Services. This Privacy Policy does not apply to the practices of Third Parties that we do not own, or control, or to individuals that we do not manage, or employ. We facilitate access only to those Third Party Services that share our respect for your privacy and international laws, yet we cannot take responsibility for the privacy policies of Third Parties. We encourage you to carefully review the privacy policies of any Third Party stated in this policy and in connection with your use of our Services. Further, while we make every commercially reasonable effort to protect your Information, we do not guarantee or warrant that such techniques will 100% prevent unauthorized access to information about you that we store, Personal Information, or otherwise.
